The best AI tool for a business is the one that fits a defined job, can use the right sources under acceptable controls and produces an output your team can check. A generic leaderboard cannot answer that. Compare tools against the same task and test them with permitted material before buying seats for everyone.
What this comparison covers
Checked on September 20, 2026, this guide compares four managed work products: ChatGPT Business, Claude for Work Enterprise, Gemini in Google Workspace and Microsoft Copilot for commercial Microsoft 365 use. Product names, plan entitlements and controls change; verify the linked vendor documentation during procurement.
| Product | Natural starting point | Current control signal to verify | Likely fit |
|---|---|---|---|
| ChatGPT Business | General chat, files, shared workspace resources and connected apps | Workspace roles, app controls, retention and data handling | Teams that need a broad assistant across several jobs |
| Claude for Work Enterprise | Long documents, writing, analysis and managed team access | SSO, role permissions, audit logs and retention options | Document-heavy work with close source review |
| Gemini in Google Workspace | Work that begins in Google Drive, Gmail and Workspace apps | Admin and content-owner access controls | Teams whose approved source material already lives in Workspace |
| Microsoft Copilot | Work grounded in Microsoft 365 and Microsoft Graph | Identity, permissions, sensitivity labels, retention and audit | Organizations already governing work in Microsoft 365 |
These are starting points, not quality scores. A tool can have a suitable feature and still fail your policy, budget or output test.
Use five filters
1. Job fit
Write one verb and one deliverable: “turn five approved meeting notes into a decision log” is testable; “help operations” is not. List the file types, length, languages and turnaround expected.
2. Source fit
Check where the approved material lives and whether the product can access it without broadening permissions. A connector should not become a shortcut around document ownership. Google states that Gemini’s access to Workspace data can be restricted by administrators and content owners. Microsoft documents that Copilot follows its identity model, permissions and configured information controls. Test those rules in your own tenant.
3. Data and administration
Confirm training defaults, retention, identity, access roles, audit needs and offboarding. OpenAI states that its business products do not use organization data for model training by default. Anthropic lists enterprise controls such as SSO, role permissions, audit logs and custom retention. These statements do not certify the tool for your use case; your security and legal owners still need to map the product to internal requirements.
4. Output and review
Define a result a qualified person can inspect. If the job is a policy summary, the output should preserve source references and mark conflicts. If it is a spreadsheet explanation, test whether formulas and units remain visible. Do not score “sounds professional.” Score facts, omissions, correction effort and usability.
5. Total operating cost
Seat price is only one line. Include setup, administration, training, connector review, evaluation and human checking. Current plan prices change, so this guide deliberately avoids a price table that would age faster than the selection method.
Worked comparison: weekly project status
Suppose a 12-person agency works in Microsoft 365 but also has client files in Google Drive. The team wants a weekly project status that lists decisions, owners, overdue actions and blocked work.
Input: three meeting notes, the approved project plan and a policy that forbids copying client financial details into unapproved services.
Test: give each approved candidate the same redacted source packet. Ask for the same table, then record unsupported statements, missed actions, source traceability, edit time and whether the normal permissions were respected.
First result: one candidate writes a polished summary but changes “Maya proposed Friday” into “Maya will deliver Friday.” Another keeps the proposal label but misses an overdue action in the third note.
Correction: add an evaluation rule that a commitment needs explicit acceptance plus owner and date. Require each status line to cite the source note. Run the original cases again; do not quietly replace the difficult example.
Decision: choose the product only if it meets the data boundary and reduces total time to an approved status without raising the correction rate above the team’s limit. A tie should go to the option that fits existing identity and source controls, not the longer feature list.
Mistakes that waste a pilot
Comparing demos instead of the same cases. Vendor examples use different tasks and inputs. Build one test set and run it unchanged.
Treating a connector as permission to use everything it can see. Define approved folders, owners and data classes before connecting a source.
Scoring style instead of correctness. Record claim support, omissions and review time. A tidy answer can be wrong.
Buying broad access before a job owner exists. Start with the people who already perform and review the selected task.
Assuming the newest feature is available in every plan or region. Check the administrator documentation and tenant itself on the review date.
Questions about AI tools for business
Which AI tool is best for a small business?
There is no universal winner. Start with the assistant that fits your approved work environment and one repeated job, then compare correction time and data controls with a second candidate if the decision is material.
Should we choose a standalone assistant or one inside our office suite?
An office-suite assistant may fit existing identity, permissions and documents. A standalone assistant may cover a wider mix of tasks. The deciding evidence should come from the same test set under your actual controls.
Do business plans prevent vendors from training on our data?
Policies differ by provider, product and configuration. Check the current business-data terms for the exact plan, then confirm retention, connectors and optional features with your administrators.
How long should a tool pilot run?
Run enough normal and difficult cases to expose repeated failures. Set the case count, owners, measures and stop rule before the pilot; extending it without a decision rule only creates more anecdotes.
